Position Overview
We are seeking a Property Administrator who will play a critical role in ensuring our Philadelphia & Boston portfolio consisting of approximately 1.8 million SF of industrial space is running smoothly and tenants are getting prompt responses. 
This position is located in our Philadelphia office and is not a remote position.
Job Responsibilities (include, but are not limited to the below):
Office Management and Administration

Serve as our first point of contact at our Philadelphia & Boston tenants and vendors. 
Provides great customer service with co-workers, vendors, and clients. 
Direct tenant questions and requests via phone and email. 
Provide administrative support to the Property Management team.
Maintain calendar for team on deadlines and events.
Draft defaults and other notices at PM direction.
Utilize Commercial Caf&eacute; to send out standard tenant notifications (holidays, closures, general announcements).

Property Operations

Available as first point of contact to route emergency maintenance matters with urgency. 
Monitor and respond to emails in market shared inboxes.
Maintain Facility Manager in Yardi by setting up and managing work orders through completion. Documenting and routing Tenant service requests through Facility Manager.
Maintain tenant and vendor insurance reporting internally or through our compliance partner. 
Submit roof repair requests through our Roof Management platform. 
Prepare Move In checklist on Monday.com and assign responsibilities.
Prepare Move out workbooks and manage pre-move-out timelines
Order welcome gifts for new tenants and arrange keys.
Manage Vendor relationships and track operating work through completion

Accounting

Run and distribute regularly scheduled A/R reports for the team.
Maintain Lease Manager in Yardi and document all AR collection efforts in tenant record with guidance from your Property Manager.
Understand tenant billing procedures and deliver billing backups to tenants
Prepare AR adjustments and tenant billbacks.
Timely coding of property invoices and checking for accuracy. 
Assist in setting up new vendors in Yardi by requesting COI, email and W9 information.
Prepare monthly Commercial Billing Reports to ensure monthly rent billings are correct and prepare late fee and holdover rent report for PM to review. 
Set up and ensure accuracy of job codes and capital contracts in accounting system for unit rollovers and other property management driven capital projects in Construction Manager.
Review monthly accruals and submit to PM for final review. 
Review monthly late fee report adding notes and submit to PM for final review.
Monitor and track site utilities, manage utility transfers
Review payables for coding and coordinate GL Reclassifications

Requirements / Qualifications:

Bachelor&rsquo;s degree from a four-year college or university in Business, Communications, or other related field preferred; and 3+ years related experience and training; OR an equivalent combination of education and experience.
Microsoft Suite: Calendar, Outlook, Word, Excel, Teams, etc. Yardi experience is preferred.
Strong creative problem-solving and customer service skills
Effective written and oral communication skills

Position Overview
We are seeking a highly organized, friendly, and technically savvy Assistant Property Manager to join our Columbus office (Dublin, OH). In this exempt position, you will address and resolve tenant issues and complaints, oversee necessary construction, and make recommendations to our Asset Management team. You'll make decisions with a clear understanding of company policies, procedures, and all applicable State and Federal regulatory and compliance requirements.
As an Assistant Property Manager, you will be responsible for tenant and vendor communications, work order management, financial oversight, compliance, and contributing to the overall success of our properties. This role offers competitive pay and comprehensive benefits for the right candidate.
 


Job Responsibilities (including, but are not limited to the below):
Tenant and Vendor Relationships

Manage tenant and vendor relationships and serve as a primary point of contact
Address tenant inquiries and conduct regular on-site tenant visits
Manage preventative maintenance contracts for HVAC per tenant leases through Ravti/Building Engines
Enter tenant service requests into Facility Manager and track them through to timely completion and work order closeout
Maintain updated tenant and vendor contact lists
Write and communicate vendor work schedules
Complete tenant move-ins and move-outs with all applicable documentation
Send 60 and 30-day move-out procedure letters
Show vacant spaces as needed
Manage utility turn-on and turn-off notices to providers

Construction and Capital Projects

Manage the workflow of construction and capital projects, ensuring completion within scope, budget, and alignment with portfolio strategic plans
Partner with construction management to review, document, and disposition all vendor bids appropriately
Perform property and vacancy inspections with timely and accurate completion

Finances and Reporting

Manage assigned properties' financial duties, including independent invoice review, processing, and timely payment
Diagnose and resolve past-due invoices while collaborating with corporate resources on payables issues
Process and approve expenditures accurately and on schedule
Direct the rent collection process, ensuring timely payment, posting, and Yardi system updates
Identify past-due tenants and work to collect outstanding balances through negotiation and payment plans
Document all collection efforts and results in applicable systems
Assist with annual budget preparation in collaboration with property management, corporate resources, and senior leadership
Reconcile, prepare, and execute monthly reports with the property management team
Prepare accruals for assigned properties
Prepare OpEx bi-weekly reports on assigned properties with minimal oversight
Prepare monthly financial variance reporting with documented commentary on budget variances

Compliance and Legal

Review vendor contracts with judgment and discretion, collaborating with property management and corporate resources to ensure acceptable terms and conditions
Execute contracts while ensuring all terms and conditions are properly documented
Track and manage tenant and vendor Certificates of Insurance to ensure full compliance with all executed projects
Ensure a safe work environment for tenants and vendors
Review, execute, and process legal tenant documents and lease-related correspondence from corporate templates, including lease documents and rent commencement agreements

Essential Qualifications & Competencies

Bachelor's degree from a four-year college or university in Business, Communications, or related field with 3+ years of related experience; OR equivalent combination of education and experience

Ability to identify and resolve problems in a timely manner; gather and analyze information skillfully; develop alternative solutions

Position Overview

Job Responsibilities (include, but are not limited to the below):
 
Tenant and Vendor Relationships


Manage tenant and vendor relationships; serve as point of contact for vendors and tenants.
Addressing tenant inquiries and visiting tenants on an as-needed basis.
Managing preventative maintenance contracts for HVAC  per tenant leases through Ravti/Building Engines
Enter tenant service requests and track them through Facility Manager to ensure timely response and manage close out of each work order.
Keep tenant and vendor contact list updated.
Write and communicate vendor work schedules.
Complete tenant's move-ins and move-outs and completing and submitting any applicable documentation.
Show vacant spaces as needed.


Finances and Reporting


Manage, and own assigned properties financial duties including ensuring all invoices are independently reviewed, processed, and paid timely.  Diagnose and resolve any past-due invoices while collaborating with corporate resources to ensure any issues with payables are resolved. 
Process and approve expenditures timely and accurately.
Direct the process of ensuring all rents are timely paid, posted, and updated in the Yardi system.  Diagnoses past-due tenants, while working to collect outstanding balances with tenants in arrears, applying negotiations such as payment plans.  Documents all efforts and results in applicable system.  
Assist with preparation of the annual budget. Collaborate with the property management team, corporate resources, and senior leadership to prepare, review, and execute the annual budget. 
Collaborate with the property management team to reconcile, prepare, and execute monthly reports.

 

Compliance 


Exercises judgment and discretion in reviewing vendor contracts collaborates with the property management team, and corporate resources to ensure all vendor contracts are within acceptable terms and conditions.   Execute contracts accordingly while ensuring all terms and conditions are duly executed.
Track and manage vendor Certificate of Insurances, ensuring full compliance with all vendor executed projects.
Ensure a safe work environment for tenants and vendors.
Review, execute, and process, legal tenant documents and lease-related correspondence from corporate templates, including lease documents and rent commencement agreements.


Miscellaneous


Perform miscellaneous job-related duties as assigned or required.


Essential Qualifications & Competencies


Bachelors degree from a four-year college or university in Business, Communications, or other related field; and 3+ years related experience and training; OR an equivalent combination of education and experience.
Microsoft Suite: Calendar, Outlook, Word, Excel, Teams, etc. 
Ability to Identify and resolve problems in a timely manner; gather and analyze information skillfully; develop alternative solutions.
Demonstration of customer focus; establishes tenant service standards, while owning the tenant experience.  
Proven track record of accuracy and thoroughness; showcases that they look for ways to improve and promote quality; applies feedback to improve performance.
Effective written and oral communication skills
Experience with Yardi preferred but not essential.
Experience in Commercial Real Estate preferred.
