Position Title: Field Administrative Assistant- Grand Cane
Location: 8451 Highway 175 Grand Cane, Louisiana 71032
Position Summary: This position has various responsibilities for support of the Area Operations Director, Plant/System Supervisors, the operating team members, and support staff. Presents a positive and professional image to customers, vendors, employees, and the public.
Essential Duties and Responsibilities:
1. Implements safe work practices and a proactive safety culture while ensuring safety for the employee, the public, and the environment, always.
2. Prioritizes safety training and meetings.
3. Maintains a safe, secure, and clean work environment, orders office, breakroom, and equipment supply, addresses maintenance needs.
4. Greets and directs incoming calls and guests.
5. Sends, receives, and distributes mail and packages.
6. Provides support for technicians, supervisors, vendors, and stakeholders. Coordinating communications with a vast array of personnel and support groups.
7. Adheres to availability expectations, deadlines, and follow-ups.
8. Makes modifications and enhancements to existing reports, spreadsheets, and charts for distribution (daily, weekly, monthly, and as needed requests).
9. Organizes status and production from SCADA and plant production reports, sends daily as timely as possible; compiles additional operational information for weekly report outs.
10. Preparation of monthly plant operations and reliability reports, overtime, vendor, and department spend reports and other area specific reports. Researches any discrepancies and resolves any problems.
11. Prepares and maintains work order processes, daily invoice coding, account reconciliations, assists in annual preparation of Capital and O & A Budget and tracking.
12. Involved in fleet management including reporting, registrations, maintaining inventory records. Coordinates GPS installation and assignments.
13. Creates and maintains office correspondence and records, to include creating filing systems within electronic platforms, extensive scanning, filing, bookmaking, off-site storage inventorying, coordinating pickups and deliveries, etc.
14. Assists with Houston IT on Cisco phone replacements and set-up, other equipment as needed.
15. Assists Houston HR with new hire field on-boarding procedures, regulatory requirements, and postings, etc.
16. Helps with planning and scheduling meetings for the office; occasional off-site co-ordination, presentation preparation, scribing or note-taking may be needed as well.
17. May be responsible for monthly tank gauge report and assistance with measurement close procedures; and district RRC reports. This includes monthly collection of field inspection reports, organizing, and filing state records.
18. Serves as a backup for other admins as needed. Assists with training new administrative staff.
19. Ability to maintain strict confidentiality, including the ability to recognize situations in which confidentiality is required.

Education, Experience, & Minimum Qualifications:
· High School diploma or equivalent is required.
· Minimum of 5 years of administrative support experience.
· Must have advanced knowledge and skill using computers, including Excel, Word, PowerPoint, and Outlook.
· Must have experience establishing and maintaining complex filing systems.
· Must pass pre-employment drug test, and will be subject to random, for-cause and post-accident drug testing, in accordance with Company policies and procedures.
· Must pass criminal history background check and drug screening test.
· Must have valid driver’s license and be insurable under the Company’s vehicle insurance policy.
