Job Title: Project Coordinator & Scheduler – AV Industry


Position Summary:

The Project Coordinator & Scheduler plays a vital role in ensuring the successful execution of AV projects by coordinating project logistics, managing technician schedules, and supporting the project team with administrative and operational tasks. This role bridges communication between project management, field teams, clients, and vendors to ensure timely, budget-conscious, and high-quality project delivery.


Key Responsibilities:

Project Coordination

  • Support Project Managers in day-to-day project activities, documentation, and reporting.
  • Maintain and update project documentation, including change orders, and submittals.
  • Track and communicate project milestones and deliverables to internal teams and clients.
  • Assist with procurement tracking and ensure timely delivery of equipment and materials to job sites.
  • Coordinate with subcontractors and internal departments (e.g., sales, engineering, service) to ensure project alignment.

Scheduling

  • Create, update, and manage installation and technician schedules across multiple projects.
  • Assign the appropriate technical resources to projects based on scope, location, and required skillset.
  • Monitor resource availability and adjust schedules in response to project changes, delays, or resource conflicts.
  • Coordinate with warehouse and logistics teams to align technician schedules with material delivery timelines.
  • Send daily or weekly technician dispatch summaries and job prep documentation.

Communication & Client Support

  • Act as a central communication point between clients, project managers, and field teams.
  • Schedule and coordinate client meetings, site walks, and punch list closeouts.
  • Ensure clear communication of project scope, schedule, and updates to all stakeholders.

Deliverables Required:

  • Up-to-date technician and installation schedules (daily/weekly/monthly).
  • Detailed project timeline updates for internal review and client reporting.
  • Resource utilization reports (for labor planning and optimization).
  • Task completion checklists and project tracking dashboards.
  • Job readiness verification reports (materials, labor, site conditions).
  • Closeout documentation support (as-built tracking, warranty paperwork).

Required Skills & Qualifications:

 

Scheduling & Tools

  • Proficiency in scheduling software (e.g., Smartsheet, Microsoft Project, Asana, Monday.com, or similar).
  • Experience with ERP or project management tools (e.g., NetSuite, Salesforce, Procore).
  • Strong Excel and Google Sheets skills for custom scheduling, reporting, and tracking.

Organizational & Communication

  • Exceptional organizational and multitasking skills in a fast-paced, deadline-driven environment.
  • Strong written and verbal communication skills.
  • Ability to build relationships and communicate effectively with technicians, managers, and clients.

Problem Solving & Initiative

  • Proactive approach to identifying and solving scheduling or project bottlenecks.
  • Ability to adapt to shifting priorities and manage multiple ongoing projects simultaneously.
  • Detail-oriented with strong follow-through and time management capabilities.
