Job Summary:

The Billing Manager is responsible for overseeing the billing operations of Congruex, ensuring accurate and timely invoicing to customers or clients for goods or services rendered. This role is crucial in managing the financial health of the organization by ensuring that billing processes are efficient, compliant with policies and regulations, and contribute to positive cash flow..

Job Responsibilities (Including, but not limited to):

The key responsibilities of the Billing Manager are:

1.        Supervision of Billing Team: Managing and leading a team of billing specialists or clerks. Assigning tasks, providing training and guidance, and evaluating performance to ensure team effectiveness.

2.        Billing Process Management: Overseeing the end-to-end billing process from invoice generation to payment collection. Ensuring accuracy and timeliness in invoicing customers based on sales orders, contracts, or service agreements.

3.        Invoice Preparation: Reviewing invoices prepared by the billing team for accuracy, completeness, and compliance with billing policies and customer contracts. Addressing discrepancies or issues before sending invoices to customers.

4.        Billing System Administration: Managing billing software or systems used for invoice generation and customer billing. Implementing updates, performing system maintenance, and ensuring data integrity.

5.        Customer Billing Issues: Resolving customer inquiries or disputes related to billing. Investigating billing discrepancies, issuing credit memos or adjustments when necessary, and maintaining positive customer relationships.

6.        Collections and Accounts Receivable: Monitoring accounts receivable aging reports to track outstanding invoices and overdue payments. Working closely with the collections team to follow up on overdue accounts and ensure timely payment.

7.        Financial Reporting: Generating billing-related reports, metrics, and KPIs for management review. Providing insights into billing performance, trends, and potential issues impacting cash flow.

8.        Compliance and Documentation: Ensuring compliance with billing regulations, industry standards, and company policies. Maintaining accurate billing documentation, records, and audit trails.

9.        Process Improvement: Identifying opportunities for process improvements in the billing cycle. Implementing efficiency initiatives to streamline processes, reduce billing errors, and enhance overall billing operations.

10.   Cross-functional Collaboration: Collaborating with other departments such as sales, finance, and customer service. Providing billing-related support and information to facilitate decision-making and resolve issues.

11.   Training and Development: Providing training and development opportunities for billing staff to enhance skills, knowledge of billing processes, and customer service practices.

12.   Strategic Planning: Contributing to strategic planning related to billing operations. Providing input on pricing strategies, revenue recognition policies, and billing process enhancements to support organizational goals.

Overall, the Billing Manager plays a critical role in ensuring accurate and efficient billing operations, timely collection of payments, and customer satisfaction. They oversee a team responsible for invoicing customers, resolving billing issues, and maintaining compliance with financial regulations and company policies, contributing to the financial health and success of Congruex.
