ABOUT THE POSITION
Administrative Assistants provide support to managers, other employees, and office visitors by handling a variety of tasks in order to ensure that all interactions between the organization and others are positive and productive. Specifically, provide clerical assistance for the Technical Service Department including billing and costing data entry, occasional routing of incoming phone calls, coordination of training school tasks, and general support activities as required.
Key Deliverables
· Handle office tasks, such as filing, generating reports and presentations, setting up meetings, and reordering supplies.
· Greet and assist visitors.
· Maintain polite and professional communication via phone, e-mail, and mail.
· Schedule meeting and appointments.
· Develop and maintain department filing system.
· Track and execute tasks as assigned in preparing for training schools.
· Assemble replacement parts and operations manuals on demand.
· Expense report billing worksheet / ERP Case.
· Paid Service Billing and invoice processing.
· Data entry of key KPI product support department metrics
Key Activities & Responsibilities
· Must follow company policies and rules.
· Compiles and assists with the preparation of quarterly reports.
· Assists with the planning and hosting of meetings and other events.
· Performs projects as assigned by the department Director.
· Routes incoming/outgoing mail, files documents and other information.
· Performs general office duties.
· Answers telephone and takes messages.
· Maintains all office supplies of the department.
· Oversees and maintains department’s common office area equipment.
To be successful in this role, your experience and competencies are:
· High school degree or equivalent – business/office management courses preferred.
· Proficient knowledge of computers, primarily Microsoft Word, PowerPoint, and Excel.
· Knowledge of standard office equipment such as printers, copiers, etc.
· Good language, grammar, basic mathematical skills and some accounting skills necessary.
· Excellent communication skills, both written and oral to use effectively within the organization.
· Ability to work on projects unassisted.
· Ability to work on deadlines and handle multiple assignments at one time.
· Must be able to meet regular attendance requirements.
· Ability to effectively work as a member of a team.
· Ability to respect everyone’s skills and unique talents in order to help ensure an enjoyable
· and productive working environment.
