Howard University Hospital seeks to hire a GME Residency Program Administrator in the Graduate Medical Education department, who will embrace our rich and historic tradition of excellence.As a GME Residency Program Administrator, you will:
- Under the direction of the Program Director, and GME Director receives and screens all applicants for postgraduate training, ensures all interviewees’ applications are complete, schedules interviews for approved applicants, provides administrative support throughout the recruitment process and maintains files on applicants.
- Maintains all required paperwork for international medical graduates and post graduates to ensure ongoing compliance with federal, state, and hospital rules and regulations, inclusive of but not limited to DC Health Professions’ post graduate registration or, if applicable, licensure and acquisition of NPI numbers
- Composes high level correspondence, spreadsheets, and presentations independently and with professional quality. Edits and proofreads written materials and verifies the validity of data/documents contained in all reports prior to submission. Assists residents/fellows and Program Director with preparation and submission of abstracts, manuscripts, posters, and presentations as needed.
- Assists maintaining program accreditation with ACGME and applicable councils; prepares and coordinates materials and resources for ACGME self-study and site visit reviews
- Assists in reviewing, assessing, developing, implementing and enforcing program-specific policies as required by the ACGME and other accrediting bodies; maintains, monitors and completes all required updates on applicable websites, surveys and electronic databases.
- Prepares monthly on-call schedules in the residency management software system and distributes to Medical Director’s office, faculty, support at other hospitals who participate in HUH resident training. Provides administrative and logistical coordination of all aspects of medical education programming in the department; prepares, monitors and disseminates faculty and resident rotations, on-call coverage, work hours and vacation schedules.
- Monitors and coordinates evaluation process to ensure ACGME milestone evaluations are captured. Assists with completion of Annual Program Evaluation (APE) module and ensures submission to the GME Office. Collates and prepares statistical data on trainees for evaluation sessions including Clinical Competency Committee meetings and semi-annual evaluations.
- Monitors and maintains accurate conference attendance, duty hours, and other issues related to training program and compiles program documentation and appropriate statistical data. Coordinates recorf of training on all residents annually.
- Plans, organizes and coordinates departmental meetings or special events, including reserving conference rooms, sending and tracking invitations, procuring food and beverage and ensuring vendor payment. Set up room and equipment (A/V tech, conference call if necessary, projector, etc.).
- Maintains post-graduate statistical database ERAS (Residency Application Process) AAMC GME Track and related computer systems. Types all personnel and budget recommendations for post-graduate trainees each academic program year
- Prepares purchase requisitions for all books, materials, and audiovisual equipment consistent with program budget allocation. Prepares meal stipends, educational leave, travel, and conferences. Monitors and approves resident time and attendance within time keeping system.
- Serves as a liaison for residents regarding benefits and Human Resources issues. Completes payroll on a weekly basis utilizing Kronos, accurately reflecting time off, including vacation days and sick days.

Qualifications include:
- Bachelor’s degree in Business Administration, Health Services Administration. Substantial years of service as an Administrative or Executive Assistant in a hospital setting also considered.
- Three (3) years of substance administrative experience, preferably in an academic environment or accreditation training program
- Proficient in the Residency Management Suite New Innovations.
