Job Summary
The Japan Administrative & Compliance Lead will serve as the operational backbone of Okeanos' Japan entity, managing all administrative, accounting, payroll, tax compliance, and government relations activities. This role is critical to ensuring the operation of our Tokyo presence while maintaining full compliance with Japanese regulations and maximizing available government subsidies and support programs.
Based in Tokyo, this position requires deep knowledge of Japanese business administration, accounting practices, and government procedures. The ideal candidate is highly detail-oriented, proactive, and capable of managing multiple compliance deadlines.
Key Responsibilities:
- Maintain accurate books and records for the Japan entity in accordance with Japanese accounting standards
- Process accounts payable and accounts receivable
- Prepare monthly financial reports and reconciliations
- Manage banking relationships and cash flow monitoring
- Coordinate with global Finance team for consolidation and reporting
- Maintain proper documentation for all financial transactions
- Maintain books and records in accordance with Japanese accounting standards, including AP/AR processing, monthly financial reports, and reconciliations
- Process monthly payroll and manage all social insurance enrollments, changes, and reporting
- Prepare and file consumption tax returns, coordinate corporate tax filings, and process withholding tax calculations
- Manage year-end tax processes and ensure timely submission of all mandatory government reports
- Prepare and submit documentation for Tokyo GX subsidy disbursement and other relevant government subsidy programs
- Coordinate with government agencies on subsidy applications and maintain organized records for audits
- Manage banking relationships and coordinate with global Finance team for consolidation and reporting
- Ensure compliance with Japanese labor law and support employee onboarding/offboarding processes
- Manage office administration, vendor relationships and maintain organized filing systems
Qualifications
- Bachelor’s degree in accounting, business administration, or related field
- Minimum 3 years of experience in accounting, payroll, or administrative operations in Japan
- Prior experience with Japanese corporate accounting, tax compliance, and government subsidy applications strongly preferred
- Proficiency with Japanese accounting software
- Strong knowledge of Japanese tax regulations, filing requirements, labor law, and social insurance systems
- Native or business-level Japanese required (for government communications and documentation)
- English proficiency
- Proficient in MS Office and cloud-based collaboration tools (Teams, SharePoint, etc.)
- Excellent attention to detail, organizational skills, and ability to manage multiple compliance deadlines
