    Role Summary

    As Administrative Supervisor for the Sleep Lab & Neurodiagnostic (EEG) department at Howard University Hospital, you will serve as the operational hub of a specialized diagnostics team — managing office workflows, supervising schedulers and support staff, and implementing the administrative procedures and practices that keep the department running smoothly. Reporting to the Operations Manager, you will work with a high degree of independence, exercising initiative and sound judgment to carry out assignments in accordance with established policies and procedures. You will also serve as a key administrative partner to department leadership, contributing to strategic planning, problem resolution, and continuous operational improvement.

    What You’ll Do

    • Control the workflow of the office; implement and maintain office procedures and practices; coordinate administrative procedures within the department and across other offices as directed
    • Supervise schedulers, office staff, and daytime clinical support activities to ensure a high level of performance, productivity, workflow management, and professional coaching
    • Manage patient appointments by ensuring the timely rescheduling of cancellations and no-shows; track and manage insurance authorizations and referrals
    • Assist the Operations Manager in assembling data for specific projects and problem areas; prepare routine statistical reports and maintain office copies of required reports per established procedures
    • Collaborate with the Operations Manager on the strategic direction and growth of the department; serve as an administrative resource to help resolve issues related to personnel matters, meeting room utilization, equipment, and supplies
    • Arrange conferences and meetings as requested, including taking dictation, ensuring adequate meeting room setup, preparing materials, and processing meeting notices
    • Handle technical issues, order supplies, and maintain the proper functioning of office equipment
    • Orient and train new staff; assign and review their work to ensure accuracy and alignment with departmental standards
    • Assume other duties and responsibilities related and appropriate to the position as assigned

    Required Qualifications

    • Associate’s degree in Business Administration, Healthcare Administration, or a related field required; Bachelor’s degree preferred
    • Three (3) to six (6) years of progressively responsible administrative experience; ten (10) years of related work experience may be substituted in lieu of educational requirements
    • One (1) year of supervisory or leadership experience preferred
    • Advanced knowledge of departmental policies and procedures; demonstrated ability to organize and manage office systems, modify procedures to improve operations, and maintain accurate records and filing systems
    • Proficiency in computer applications including Microsoft Office Suite and Adobe Acrobat
    • Knowledge of standard accounting principles and experience working with confidential information
    • Ability to work independently, demonstrate leadership, and anticipate departmental needs
    • Excellent attention to detail with the ability to manage multiple tasks simultaneously and meet deadlines
    • Strong interpersonal, customer service, and problem resolution skills; ability to work collaboratively across all levels of the organization with tact and professionalism
    • Effective oral and written communication skills

    Pay & Schedule

    This is a full-time, exempt position. Pay range: $55,573 – $88,918/yr, commensurate with experience and qualifications.
