Key Responsibilities
• Own and manage high-volume phone and inbox communication
• Coordinate closings, scheduling, and time-sensitive appointments
• Serve as a key point of contact for clients, attorneys, and internal teams
• Maintain and update files and systems with accuracy and urgency
• Support workflow coordination to keep operations moving efficiently
• Assist with document revisions, follow-ups, and task tracking
• Identify gaps or delays and proactively keep things on track

• Communication is handled quickly, professionally, and without backlog
• Scheduling and coordination run smoothly with minimal oversight
• Files are organized, updated, and easy for the team to act on
• The team can focus on closing and execution without constant interruption

Qualifications
• 2+ years in a fast-paced administrative, operations, or coordination role
• Strong organizational and time management skills
• Ability to manage multiple priorities without losing attention to detail
• Clear and confident communication (written and verbal)
• Proficiency in Microsoft Outlook and standard business systems
• Comfortable working under deadlines and shifting priorities
