Job Summary:
We are seeking an experienced and driven IT Asset & Procurement Manager to own the full lifecycle of Congruex's IT hardware and software assets—spanning approximately 3,000 endpoints, 350 mobile devices, and a diverse software portfolio including on-premises, cloud, SaaS, and complex subscription-based licensing agreements. This role will mature Congruex's IT Asset Management (ITAM) program, lead CMDB solution evaluation and adoption, drive software license compliance and cost optimization, and manage the end-to-end IT procurement process including purchase orders, vendor relationships, and onboarding. The successful candidate will build and develop a team of asset professionals while serving as the primary bridge between IT, Finance, and the vendor community. Key Responsibilities (Including, but not limited to):
Hardware Asset Management
- Own the full hardware asset lifecycle across all Congruex locations nationwide and assist in Mohali, India: procurement, receiving, asset tagging, deployment, tracking, refresh planning, and secure disposal
- Maintain accurate, real-time inventory of approximately 3,000 endpoints and 350 mobile devices across 44+ office locations
- Develop and execute a multi-year hardware refresh strategy aligned to asset age, performance data, and budget cycles
- Establish and enforce asset tagging standards, physical inventory audit procedures, and device receiving and staging processes at the corporate office, which serves as the primary IT asset facility for the enterprise
- Coordinate equipment logistics including provisioning, redeployment, shipping to remote locations, and end-of-life disposal in compliance with data destruction standards
Software Asset Management & License Compliance
- Own and manage the full software license portfolio, including perpetual, subscription-based, concurrent, and SaaS licensing models
- Maintain an accurate software entitlement inventory with contract terms, renewal dates, costs, owners, and consumption data
- Lead co-term management and renewal forecasting for complex subscription-based agreements including Microsoft 365, Autodesk, Adobe Creative Cloud, and other enterprise SaaS platforms
- Proactively identify license over-allocation, shelfware, and cost optimization opportunities — delivering measurable savings to the organization
- Serve as the primary point of contact for software vendor audits; maintain audit-ready entitlement documentation at all times
SaaS & Subscription Governance
- Develop and maintain a complete SaaS application inventory — including sanctioned, unsanctioned (shadow IT), and under-utilized subscriptions
- Partner with IT leadership, Finance, and department owners to govern SaaS sprawl, enforce procurement compliance, and eliminate redundant tooling
- Forecast SaaS renewal spend and proactively flag risks ahead of renewal windows
- Establish and maintain SaaS onboarding and offboarding procedures tied to the user lifecycle framework
Procurement & Vendor Management
- Own the end-to-end IT procurement process, including purchase order (PO) creation, approval routing, receipt reconciliation, and invoice validation in coordination with Finance
- Manage IT procurement and purchasing activity through Concur, ensuring PO accuracy, proper coding, and timely reconciliation
- Manage vendor relationships across hardware, software, and SaaS providers — serving as the primary IT point of contact for purchasing, contract inquiries, and escalations
- Lead vendor onboarding for new IT suppliers, including intake evaluation, security review coordination, contract requirements, legal requirements and system setup
- Build and maintain the approved IT vendor register, including contract status, renewal dates, pricing agreements, and performance notes
- Negotiate pricing, terms, and SLAs with hardware and software vendors to maximize value, leveraging volume, co-terming, and enterprise agreement opportunities
- Partner with Finance on IT budget forecasting, purchase approvals, and spend reporting to ensure procurement activity aligns with approved budgets
- Ensure all procurement activity complies with Congruex purchasing policies and approval thresholds
CMDB Evaluation & Implementation
- Lead the assessment, selection, and implementation of a CMDB solution to replace the current environment
- Define CI (Configuration Item) classes, naming standards, required attributes, and lifecycle states aligned to ITIL best practices and Congruex IT operations needs
- Establish and maintain CI data quality standards; ensure CMDB accuracy through regular reconciliation with discovery tools, procurement data, and endpoint management platforms
- Integrate CMDB with ITSM, endpoint management, and SAM tooling to create a unified source of truth for all IT assets
Tooling & Platform Management
- Serve as the functional owner and subject matter expert for ITAM-related platforms including Tanium, ServiceNow, and Concur
- Lead and support the adoption of ServiceNow within the IT asset management function — including requirements gathering, process design, workflow configuration, and team enablement during rollout
- Optimize tool configurations, integrations, and workflows across ITAM platforms to maximize asset visibility, discovery coverage, and reporting capability
- Evaluate emerging ITAM tools and make recommendations to support program maturity
Reporting & Analytics
- Develop and maintain dashboards and reports covering asset inventory, license compliance, refresh pipeline, SaaS spend, and CMDB health
- Provide regular asset and procurement reporting to IT leadership and Finance, including cost optimization findings, renewal forecasts, and lifecycle status
- Define and track ITAM KPIs and present program performance to the IT Manager and VP on a scheduled cadence
Team Leadership & Development
- Develop a team of 1–3 IT Asset Analysts / Specialists
- Set clear performance expectations, provide regular coaching, and create development plans aligned to each team member's growth
- Build team processes, runbooks, and SOPs that ensure consistent execution across the asset and procurement lifecycle
- Foster a culture of accuracy, accountability, and continuous improvement within the asset team
- Assist with special projects as deemed necessary
Required Qualifications:
General
- Bachelor's degree in Information Technology, Business Administration, Computer Science, or related field — or equivalent work experience
- 5+ years of progressive IT Asset Management experience, with at least 2 years managing both hardware and software assets at scale in a distributed, multi-site environment
- At least 2 years of experience in a people leadership or team lead capacity
- Demonstrated experience managing IT procurement including PO management, vendor onboarding, and contract negotiation
- Excellent verbal and written communication skills with the ability to present complex ITAM and procurement data clearly to IT leadership and Finance stakeholders
- Strong analytical mindset — able to turn asset and spend data into actionable insights and cost optimization recommendations
- Superior organizational skills and attention to detail, particularly in license entitlement, contract terms, and inventory accuracy
- Deadline driven, self-motivated, and capable of managing multiple priorities in a fast-paced and changing environment
- Ability to collaborate cross-functionally with IT, Finance, Procurement, and business stakeholders
- Commitment to providing excellent internal customer service — dedicated to supporting the Congruex team with accuracy, urgency, and professionalism
Technical
- Hands-on experience with Tanium, ServiceNow and similar endpoint discovery and ITAM platforms — required
- Hands-on experience with ServiceNow ITAM or ITSM modules — required
- Experience with Concur or equivalent procurement platform for PO creation, purchasing workflows, and Finance reconciliation
- Deep knowledge of hardware asset lifecycle management including asset tagging, refresh planning, staging, and secure disposal
- Strong software license management skills across multiple licensing models — perpetual, subscription, SaaS, concurrent, and enterprise agreements
- Experience managing complex, co-termed, and subscription-based licensing agreements (Microsoft 365, Autodesk, Adobe Creative Cloud)
- Experience contributing to CMDB implementation or migration
- Proficiency with endpoint management tools (Intune/SCCM, Jamf)
- Working knowledge of ITIL Asset Management and Configuration Management practices
- Proficiency with reporting and data analysis tools (Excel, Power BI, or similar)
Preferred Qualifications:
- Experience leading a full CMDB implementation from assessment through go-live
- Experience supporting or leading a ServiceNow platform rollout, including requirements gathering, workflow configuration, and team enablement
- Familiarity with Jira Service Management or similar ITSM platforms
- Experience in telecommunications, utilities, construction, or infrastructure industries
- ITIL Foundation certification (v3 or v4)
- IAITAM CHAMP (Certified Hardware Asset Management Professional) or CSAM (Certified Software Asset Manager)
