We are currently seeking an experienced and motivated Orthodontic Office Manager to lead one of our thriving orthodontic locations.

Position Summary

The Orthodontic Office Manager is responsible for the day-to-day operations of the orthodontic practice, overseeing patient care coordination, team management, provider support, and operational excellence. The ideal candidate is a confident leader, proactive problem-solver, and strong communicator who can maintain efficiency while delivering a 5-star patient experience.

Key Responsibilities

  • Oversee all front office and clinical workflows to ensure smooth daily operations

  • Lead, mentor, and manage a team of treatment coordinators, scheduling staff, and clinical assistants

  • Ensure provider schedules are optimized and patient care is timely and well-coordinated

  • Maintain a high standard of patient experience through warm, professional communication and service

  • Monitor KPIs, collections, case acceptance, and production goals

  • Handle escalated patient issues and support staff in resolving concerns with professionalism

  • Collaborate with the regional operations team on staffing, scheduling, training, and performance management

  • Ensure compliance with HIPAA, OSHA, and all company policies and procedures

  • Support implementation of company-wide initiatives, software systems, and training programs

What We’re Looking For

  • 3+ years of experience in orthodontic or dental office management required

  • Strong leadership skills with a focus on team development and patient satisfaction

  • Excellent organizational, time-management, and communication abilities

  • Proficiency in dental/ortho software (e.g., Edge Cloud, OrthoFi, Dentrix, or similar)

  • Knowledge of orthodontic treatment flow, insurance processes, and financial coordination

  • Ability to work collaboratively with providers, patients, and corporate operations

  • Bilingual (English/Spanish) is a plus
