BBM Academy has partnered with Hueman to find a Part-Time Payroll Administrator for their Payroll Department. This is a remote-based position, however candidates must be in the Eastern Time Zone.
The Payroll Administrator manages all payroll operations for the early childhood education organization, ensuring timely, accurate, and compliant processing of wages, deductions, and benefits for a diverse workforce. This role requires a blend of technical accuracy, confidentiality, and a service-oriented approach, supporting both staff satisfaction and regulatory compliance in a sensitive, child-focused environment.

Job Responsibilities:

Payroll Processing & Administration
-
Collect, verify, and process bi-weekly or monthly payroll for teaching, administrative, part-time, and seasonal staff, including new hires and terminations.

Review and reconcile electronic timekeeping systems and timesheets; address discrepancies with supervisors and employees.

Calculate and process base pay, overtime, stipends, bonuses, garnishments, tax withholdings, and all applicable payroll deductions.

Maintain and update payroll records for changes in employment, salaries, benefits, and taxes.
Compliance & Reporting

Ensure compliance with federal, state, and local payroll, wage, tax, and labor laws (including FLSA, FMLA, ACA, and state-specific leave and reporting requirements).

Support internal and external audits, preparing payroll reports and responding to information requests.

Manage annual and quarterly payroll processes, including year-end account reconciliation and reporting.

Create ad hoc reports as needed to support Operations.
Benefits & Data Management

Coordinate with HR to administer employee benefit deductions (health, vision, retirement, childcare tuition waivers, etc.) and ensure data accuracy in HRIS and payroll systems.

Process and maintain records for employee benefits, paid leave, sick time, FMLA, and wage garnishments.

Process timely and accurate childcare deductions for staff in accordance with with BBMA handbook.

Ensure confidential handling and secure storage of sensitive payroll and employee data.
Employee Service & Communication

Respond to employee inquiries regarding payslips, deductions, taxes, direct deposit, paid leave balances, and related payroll issues.

Provide orientation and ongoing support to new and existing employees about payroll processes and self-service platforms.

Partner with business office, HR, and program administrators to resolve payroll questions and ensure service excellence.
Process Improvement & System Maintenance

Participate in payroll system upgrades, improvement initiatives, and best-practice reviews.

Collaborate with vendors and software providers to troubleshoot, update, and optimize payroll/HRIS systems.

Analyze payroll processes for efficiency gains and recommend improvements for data integrity and timeliness.

Job Requirements:

Education & Experience
-
High school diploma or GED required; associate's or bachelor’s degree (finance, HR, accounting, or business) preferred.

2+ years’ experience in payroll processing or administration, preferably in education, nonprofit, or hourly/part-time workforce settings.

Proficiency in payroll software (ADP, Paychex, QuickBooks Payroll, Paycom, or equivalent), as well as strong Excel/Google Sheets skills.
