FLSA Status: Non-Exempt
Compensation: $26.00 - $29.00 per hour
Office Hours:  Monday – Friday, 8:00 am to 4:30 pm
Supervisory Responsibly: None

Position Summary 

Under the supervision of the payroll manager, assume responsibility for ensuring the accuracy and completing bi-weekly payroll functions within the Insperity PEO or third-party online payroll platform(s).  Manage payroll file system and assist Payroll Manager in payroll reporting and audit preparation. 

Essential Duties and Responsibilities

  • Coordinate with Human Resources staff to retrieve accurate information for use in payroll processing.
  • Enter payroll information for all new hires and edit payroll records for existing staff within Insperity or third-party online payroll platform(s).
  • Ensure all required back-up documentation is in place prior to creating and editing records in Insperity system or third-party online payroll platform(s).
  • Ensure confidentiality of all staff personnel and payroll information.  Notify Payroll Manager of any suspected lapses.
  • Coordinate with Insperity staff regarding payroll data issues when necessary.
  • Process bi-weekly payroll – staff and client - in collaboration with Payroll Manager.
  • Review client/consumer payroll data from manual timesheet against Insperity for accuracy.
  • Ensure all staff and client payroll data is accurate and ready for processing
  • Review payroll data with Payroll Manager for accuracy before submitting to Insperity or third-party online payroll platform(s).
  • Prepare manual payroll checks and logs according to departmental policy and procedures.
  • Provide excellent service to staff and clients regarding payroll issues
  • Create, run, and format payroll reports to send to CEO/COO/Directors.
  • Organize and manage payroll file system
  • Retrieve, organize, and present payroll information to Human Resources upon request
  • Assist Payroll Manager in preparation for audits

Other Duties

  •      Comply with ECF’s Injury and Illness Prevention Program.  Ensure safe use and operation of tools and/or equipment.
  •      Comply with ECF policies and procedures, including mandated reporting requirements
  •      Complete special projects and other assignments as designated by the Payroll Manager
  •      Regular, reliable attendance
  •      Perform other duties as assigned.

Qualifications


Education/Licenses/Certifications:
Associate degree in a related field required; relevant professional experience may be considered in lieu of formal education.

Experience:  Minimally 2 years of payroll processing experience, with Insperity or a similar third-party online platform(s).  Knowledgeable of California payroll laws.  Nonprofit payroll experience is a plus.

Knowledge/Abilities/Skills:

  • High proficiency in computerized payroll processing, strong working knowledge of MS Word and Excel
  • Detail oriented and possesses a high level of accuracy while working under strict deadlines
  • Ability to work independently with minimal supervision yet works well within a team environment
  • Strong verbal and written communication skills coupled with a customer service attitude. 

Requirements

  • Driving is an essential function of this position. Proof of valid California driver’s license, reliable transportation, evidence of state-mandated car insurance, and insurable driving record are required. While driving for work, should a need arise, the employee’s insurance is deemed primary and ECF’s coverage is secondary
    Driving Disclaimer- Employees driving for company business must maintain a clean record and operate vehicles safely and responsibly. Company vehicles will be monitored and activity recorded. Violations of the driving policy may result in disciplinary action, including suspension of driving privileges, reassignment, or termination.
  • Provide evidence of a negative TB test initially and every three years thereafter.

Work Environment

Duties are performed in a shared, temperature-controlled office located in a building that houses a school for students (grades K–12th) who have varying degrees of learning, behavioral, emotional, and developmental disabilities.  Employees may encounter students who are in crisis, exhibiting emotional/psychological distress, or behaving in an aggressive manner.   The environment may include loud noise. Some exposure to outside weather conditions when traveling on ECF business (attending events, off-site meetings, etc.).

  • Mobility to work in a standard office setting and to use standard office equipment, including a computer, and to attend meetings at various sites
  • Strength to lift and carry materials weighing up to 10lbs

  • Sit/stand for extended periods of time; constantly use hands and fingers
  • Work with 10-key calculator and computer for extended periods of time
  • Driving, visiting various ECF sites, banking, etc.
