The Operations Coordinator supports multiple Project Managers and project teams to ensure projects are organized, compliant, and operate efficiently. This role serves as the administrative and operational backbone of project delivery by coordinating meetings, maintaining project documentation, tracking action items, supporting project reporting, and ensuring project information is properly maintained across SharePoint, Teams, OneDrive, and other project management systems. The ideal candidate is highly organized, detail-oriented, technology-savvy, and able to manage multiple priorities across several projects simultaneously.   

Responsibilities:

Project Administration & Document Management 

  • Maintain project file structures and ensure all project documentation is properly organized and stored within SharePoint, Microsoft Teams, OneDrive, and other approved project systems. 

  • Assist Project Managers with project startup activities, including project setup, folder creation, templates, and project controls documentation. 

  • Monitor project documentation for completeness, consistency, and compliance with company standards. 

  • Coordinate project kick-off meetings and assist in the implementation of project management plans. 

  • Support project teams by maintaining project logs, trackers, databases, and records. 

Meeting Management & Coordination 

  • Schedule, coordinate, and attend recurring project meetings as required or needed. 

  • Prepare meeting agendas in collaboration with Project Managers and team members. 

  • Record and distribute meeting minutes, key decisions, and action item logs. 

  • Track action items to completion and follow up with responsible team members regarding status updates and due dates. 

  • Coordinate communications among project stakeholders to ensure timely information flow and issue resolution. 

Reporting & Project Controls Support 

  • Assist in the preparation of weekly, monthly, and executive project reports. 

  • Gather project information from team members, including schedule updates, budget status, project risks, procurement activities, and key project milestones. 

  • Compile, validate, and input project data into reporting systems and dashboards. 

  • Develop charts, graphs, and visual reports to support project reviews, client meetings, and management presentations. 

  • Support project reporting requirements by maintaining current project schedules, action item logs, risk registers, and status summaries. 

Qualifications:

  • Associate or bachelor's degree in business administration, Project Management, Construction Management, Engineering, or related field preferred. Relevant work experience may be accepted in lieu of a degree. 

  • 3+ years of experience supporting project managers, program managers, construction managers, or technical teams. 

  • Experience managing documents and collaboration platforms such as Microsoft Teams, SharePoint, and OneDrive. 

  • Strong proficiency with Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook. 

  • Excellent organizational, communication, and time management skills. 

  • Ability to manage multiple projects and priorities simultaneously. 

  • Experience preparing meeting minutes, action items logs, and project reports. 

  • Strong attention to detail and commitment to quality. 

  • Preferred Qualifications:  Experience supporting project management, construction management, architecture, engineering, or consulting organizations; Familiarity with project management software such as Procore, PMWeb, e-Builder, Smartsheet, or Asana; and knowledge of project schedules, project controls, and reporting processes. 

Compensation: 

Salary range: $60,000 - $80,000/yearly (dependent on years of experience, competency, travel requirements)

Pay Range
$60,000.00   Annually to $80,000.00   Annually
